Like many of you, we have been following the impacts of the COVID-19 virus outbreak over the last few months. Unfortunately, the situation has not resolved as quickly as we had hoped, but we understand and support the reasoning behind the actions our local authorities have taken to reduce the devastating toll of this virus.
It is apparent that many of the restrictions on the size of meeting groups and the social distancing policies will likely be in place for at least several more months, and we will likely not immediately return to normal, but rather will see a gradual easing of the restrictions over time. It is even possible that some areas may be subject to the restrictions for a longer period of time, depending upon the potential for further spread of the COVID-19 virus.
With these factors in mind, the Gold Rush Chapter Board of Directors has made the difficult decision to outright cancel the 2020 Western Regional Symposium. In considering whether it would be possible to host the event in the late summer or early fall time frame, the Board came to the decision that there was just too much uncertainty about the COVID-19 situation to be comfortable with rescheduling the event.
We are working out the procedures to refund Exhibitor and Attendee registration payments. Refunds will be processed through the same payment option originally used. Due to the unique circumstances causing this cancellation, we will not be imposing the stated $95 cancellation fee per registration. However, we will likely have to reduce any amounts paid by credit card by the amount of the credit card processing fees, as we can not recover those costs. You will not have to request that a refund be made, we will automatically process them. It is our hope that we can process the credit card refunds by May 1, 2020.
If you had existing hotel reservations, those have all been cancelled directly by the hotel.
On behalf of the Gold Rush Board of Directors, we hope you and your families stay safe and healthy in these difficult times. We are looking at alternative ways of staying in touch with our members, such as considering asking some of our proposed WRS presenters to instead conduct an online webinar. We’re also looking at ways to hold our general membership meetings virtually – more information to come on that topic soon.
We sincerely hope that the situation is much improved in 2021 – the Western Regional Symposium is a great opportunity to see old friends and make new ones, and we are extremely disappointed we will not have that experience this year.
